Tournament Workflow Guide

How to use Sendcoach to maximize showcase exposure, before, during, and after a tournament.

Quick Start ⚡️

Follow these steps to run the Tournament Workflow:


  1. Go to Tournaments in Sendcoach.
  2. Add your tournament:
    • Select it from the preloaded list, or
    • Paste the public schedule URL.
  3. Select your team so the full schedule loads.
  4. Invite other families to collaborate.
  5. Review registered coaches and click Interested to add schools to your Pipeline.
  6. Send pre-tournament schedule emails using Create Tournament Schedule Email.
  7. Track coach attendance during games using Log Coaches on mobile.
  8. Send post-tournament follow-ups to any coach who attended.

Overview

The Tournament Workflow allows you to:

  • Add your tournament and team schedule
  • Invite other families to collaborate
  • View registered college coaches
  • Add schools to your Pipeline
  • Send pre-tournament schedule emails
  • Track coach attendance during games
  • Send post-tournament follow-ups

Accessing the Tournaments Area

  1. Log in to your Sendcoach account on desktop or mobile.
  2. Use the left navigation and select Tournaments.

If your tournament appears in the list, you can just select it. If not, you can add it manually.

Adding a Tournament

Option A: Use a Preloaded Tournament

  1. Go to Tournaments
  2. Search for your event under Available Tournaments
  3. Select the correct tournament
  4. Search for your team
  5. Add your team to load the full game schedule

Option B: Add a Tournament Using a Schedule URL

  1. Copy the public schedule URL shared by your team or tournament
  2. Paste it into Add Tournament by URL
  3. Sendcoach imports all games, locations, and opponent details

Inviting Other Families

  1. Inside the tournament, click Invite Family
  2. Enter their email address
  3. If they have an account, they are added immediately
  4. If not, they can create a free account and are added to the tournament automatically

Viewing Your Tournament Schedule

When your team is selected, Sendcoach displays:

  • All game dates and times
  • Field locations with maps
  • Opponents
  • Registered college coaches

Adding Schools to Your Pipeline

Inside the tournament view, Sendcoach lists all college programs registered for the event.


To add a school to your Pipeline:


  1. Click Interested (thumbs up icon)
  2. The school is added to your Pipeline for ongoing tracking

Sending Pre Tournament Emails

  1. Select a school or coach
  2. Click Create Tournament Schedule Email
  3. Sendcoach automatically creates a draft email using:
    • Your player profile
    • Your tournament schedule
    • AI generated text

Important

Review and personalize the email before sending. Add player-specific details to make the message authentic.


Tracking Coach Attendance During Games

Use the Coach Attendance Tracker during the event. This is intended for mobile browser use:

  1. Log in to Sendcoach on your phone
  2. Open the tournament
  3. Tap Log Coaches
  4. Select your game
  5. Tap the schools or coaches you confirm on the sideline

Tips

  • You can log a school even without a coach's name.
  • You can share the coach attendance list with your team via text or WhatsApp.
  • Attendance data automatically appears in your Pipeline.

Sending Post-Tournament Follow-Ups

After the tournament:

  1. Open the tournament
  2. Click Create Follow-Up Template
  3. Edit the email to personalize it
  4. Send follow-ups to any coach who attended your games

Tournament Activity in Your Pipeline

Your Pipeline automatically tracks:

  • Schools marked as interested
  • Coaches who attended your games
  • All pre- and post-tournament communication

This keeps your tournament activity connected to your overall recruiting workflow.
